These Terms and conditions regulate the general booking conditions pertaining to your reservation. It serves to ensure that your travel arrangements are 100% accurate, and outlines the areas of responsibility for both the client and travel consultant.
All quotations or estimates provided by or bookings made with and/or all services rendered or vouchers, receipts or tickets issued by or on behalf of Travel Gab are subject to these Standard Terms and Conditions (STC) and that of any Third-Party Service Providers.
Confirmation of bookings.
Please ensure that you are happy with you travel itinerary prior to any documentation being issued. You will be asked to confirm that you are happy with these arrangements by either signing the confirmation or by agreeing to its content via email.
Spelling of names.
It is extremely important that the names on all documentation are exactly the same as those listed on each passport. You will be asked to provide a copy of the passports of each traveller when making a reservation.
All deposits paid to both Travel Gab and its suppliers are non-refundable. Should a deposit not be received, by the specific date, the reservation will be cancelled. Only full payment will guarantee the price quoted. A deposit will secure your reservation but the total price is affected by rates of exchange, availability, airfare rulings and various other factors.
Payment for your booking.
Full payment is required for your booking at least 8 weeks prior to departure or at the time of the booking, depending on the requirements of our suppliers*. Airfare payments are due immediately before any tickets can be issued. Travel Gab, and our clients, are expected to adhere to these strict supplier deadlines which will be discussed with you at the time of making your reservation. Prices are not guaranteed until tickets have been paid for in full and issued, and are subject to change at any time until then. When paying by credit card we will require a signed imprint of your card as well as a copy of the front and back of the card. If this is not possible you will be required to complete a Travel Gab credit card/booking authorisation form until it is possible to get an imprint. You are to comply with the authorisation criteria as laid down by the respective Credit Card Companies and/or the International Air Transport Association (IATA).
Travel Gab reserves the right to implement service charges. Service may include booking, ticketing, amendment, communications, and consultation, documentation and administration fees for online reservations. We believe in being upfront with all charges and will be happy to disclose them on request.
Date and routing changes
Travellers or their agent can make most date changes directly with the airlines involved while they are travelling. Some dates may only be changed through Travel Gab. Availability of seats and date change fees are subject to the airlines’ policies and fare rules. Travel Gab can advise about the policies regarding a specific itinerary on request. Travel Gab can assist in making your date changes for a fee in addition to the date change fees charged by the carrier. Some airlines may not allow date changes. In order to change the travel dates of such tickets, the ticket must be submitted for a refund and a new ticket purchased for the new travel dates. Once tickets have been issued, routing changes (including adding, removing, or changing stopovers or connections) may not be permitted by all airlines. If a routing change is needed, the ticket may need to be submitted to us for a refund and a new ticket purchased for the new travel routing. In the event of there being an unscheduled extension to the booking caused by flight delay, bad weather, strike or any other cause that is beyond the control of Travel Gab, it is understood that expenses relating to these unscheduled extensions (hotel accommodation, etc) will be for your account and if applicable can be claimed from your Travel insurer.
Both Travel Gab and our suppliers* charge cancellation fees once a ticket has been issued or a package processed.
Your baggage allowance will vary according to airline, class of travel and routing. The correct baggage allowances are shown on your air ticket and excess baggage charges are available via the airline website. These may be very costly.
Check-in times are generally 3 hours prior to departure for international flights and 90 minutes prior for local flights. We do advise that you do an online check-in 24 hours before to reduce your check-in time at the actual airport. We are happy to do this on your behalf at your request.
Reconfirmation of your flights
Prior to departure, we will advise of any changes in itinerary but once you have commenced travel it is important for the passenger to check all onward flights via the airline website.
Seating and meal request
Seating is never guaranteed. We can request these at the time of the booking but it is at the airline’s discretion. Many airlines have now implemented paid seating which is not included in the initial airfare. Should you not wish to pay for seating we recommend seating to be done when you do your online check-in. We will request meals on your behalf but cannot guarantee them, even if the airline confirms at the time of booking.
It is extremely important that you have comprehensive travel insurance when you travel. We are able to offer a comprehensive cover for your itinerary. This is often a requirement when applying for a visa. Should you decline this, Travel Gab cannot be held liable for any expenses incurred for lost baggage, travel delay, medical emergencies and any related costs.
We recommend you travel with an international driver’s license as well as your local SA license just to be safe.
All airfare payments are immediately transferred across to the airline. Refund applications may take up to 12 weeks to process and in certain cases longer. Over and above any airline, or any other supplier* charge, we reserve the right to charge cancellation and processing fees which are paid at the time of making the refund application.
You will be referred to our visa partners for sound visa advice pertaining to your itinerary. Travel Gab may not be held liable for any losses incurred due to visa delay/error or decline. Please check with the embassy directly should you have any questions.
You are responsible for ensuring that you have a valid passport – Valid for 6 months after return of travel, and with enough blank pages to satisfy the authorities throughout your journey. New Immigration Amendment Act The new regulations, require that all parents arriving, transiting and departing from SA are to produce an unabridged birth certificate for their children under the age of 18. Families not in possession of these documents will be refused to travel. In the case where only one parent is travelling with the children, consent in the form of an affidavit from the other parent registered is required. Alternatively, either a court order granting full parental responsibilities and rights or a death certificate of the other parent must be produced.
Destination and Hotel selection
You acknowledge that you have selected the itinerary, hotels and destination(s) constituting the booking based on information provided from brochures, the Internet and/or any other medium/source. You also acknowledge that such brochures and/or the Internet have been compiled and are managed by the Supplier (Principal) over which Travel Gab has no control. Accordingly Travel Gab cannot and does not guarantee that the itinerary and/or any destinations will comply in whole or in part with such brochure and/or the Internet. Any right of recourse in that regard will be against the Third-Party Service Providers.
Travel Gab will, on request, endeavour to assist you in obtaining or meeting the requirements for passports, visas, health documents, insurance, foreign exchange, use of credit cards, customs and immigration regulations as well as other peripheral requirements or services falling outside the actual travel arrangements made with principals and other parties for whom Travel Gab act as intermediaries. However, due to the constant changing nature of such peripheral requirements and services, Travel Gab cannot be held liable for ensuring that these requirements and services are provided correctly or timeously or at all, nor the accuracy of any information or any lack of information relating to such requirements and/or services.
This may be purchased up to 60 days prior to departure. You can place your foreign exchange order with your Travel Gab consultant. Foreign exchange regulation compliance is your exclusive duty. This will apply especially when you instruct Travel Gab to make and pay for travel arrangements on the Internet.
Airlines reserve the right to withdraw airfares without notice. We cannot guarantee airfares, airport taxes and fuel surcharges until paid in full and the air tickets have been issued. Certain destinations may also require a departure tax which is payable locally upon departure in cash. These are not included in the prices quoted. Prices are subject to change without notice until payment has been received in full, whether a reservation has been made or not. By accepting a confirmation and offering payment therefore it will be deemed that you have read, understood and accept our terms and conditions.
Flights may be overbooked, and there is a slight chance that a seat will not be available on a flight even if you have a confirmed reservation. In most circumstances, if you are denied boarding involuntarily, you are entitled to compensation. When required by applicable law, the carrier must solicit volunteers before anyone is denied boarding involuntarily. Check with your carrier for the complete rules on payment of denied boarding compensation (DBC) and for information on the carrier’s boarding priorities. Please note that any denied boarding is out of the control of Travel Gab and that Travel Gab cannot be held liable for any lost revenue / opportunity or trauma experienced as a result of action by the Third-Party Supplier.
Dangerous goods (hazardous materials)
For safety reasons, dangerous goods must not be packed in checked or cabin (unchecked) baggage except as specifically permitted. Dangerous goods include but are not limited to: compressed gases, corrosives, explosives, flammable liquids and solids, radioactive materials, oxidising materials, poisons, infectious substances, and briefcases with installed alarm devices.
*suppliers include airlines, shipping lines, rail services, accommodation suppliers, coach, car hire, touring and sightseeing companies.
Travel Gab acts at all times as an agent, sub-agent or broker for various principals and other parties, inter alia tour operators, airlines, shipping companies, car hire and touring firms, hotel and other providers of tours, transport, sea or land arrangements and other travel-related services. We act on behalf of all these principals and are not responsible for acts of error or omission made by them or their agents. In addition, we shall not be held liable for any losses incurred due to an end supplier’s insolvency or ceasing of operations.
